Therole

Arena International, partof GlobalData, runs 50 + international market leading conferencesevery year across a variety of sectors. Our growing internationalportfolio spans across 3 key industries - pharmaceuticals, consumergoods, and financial services with events running globally acrossUK. US, Europe and Asia.

Reporting to the Headof Event Operations and Delivery we're looking for an experienced,hand-on Operations Manager who thrives on detail and has a passionfor delivering excellence. You must be confident in managing andcoordinating all processes and procedures associated with runningmulti -streamed, confex and conference event formats.

What you'll bedoing

  • End to endevent and budget management/delivery.
  • Venuesourcing & cost negotiation
  • Suppliersourcing, negotiation and procurement
  • Eventplanning and delivery - AV, Signage, F&B, Staging, Creative,Travel, onsite materials; event guides, delegate packs
  • Client liaison- Sponsors, delegates, Vips,speakers
  • Internal team liaison andcollaboration: Sales, Delegate Sales, Marketing, Design,Finance
  • Financial reporting, invoice,commissions, reconciliation
  • Liaison with thedesign department to ensure timely and accurate production ofsignage, catalogues, and all contents of delegate packs
  • Lead and deliver events on site
  • Keeping IT systems, and event reporting up todate
  • People Management

What We Look For

  • Our core event portfolio is in person,flexibility to travel is a must. (6-7 events/year)
  • Experience of hybrid, digital, awards and 121 meetingformats also highly beneficial for this growth role.
  • Have 3+ years' experience working with the eventsindustry - conference/confex/meeting formats preferably
  • High attention to detail
  • Ability tomanage event financial budgets (GCSE Grade C maths minimum orequivalent)
  • Great communication skills - beingable to liaise with all departments as well as work with multiplesuppliers
  • A proven ability to work to tightdeadlines, with attention to detail under pressure on multipleevents at once
  • Excellent time management andorganizational skills with experience of reporting onactivity.
  • High level of IT competency,including word and excel
  • Excellentinterpersonal skills - ability to deal with a wide range of peopleat all levels
  • Ability to prioritise, plan andorganize workload often with conflicting timeconstraints
  • Flexible team player, with theability to work under pressure to short deadlines
  • Ability to use initiative and work largelyself-directed
  • Negotiation skills
